This is the privacy notice of the Cullenagh Residents Committee (“CRC”). In this document, "We", "Our", or "Us" refer to the Cullenagh Residents Committee. We are The Cullenagh Residents Committee a voluntary residents’ committee managed by dedicated volunteers.

1.Introduction
  1. This is a notice to inform You of Our policy about all information that we record about You. It sets out the conditions under which We may process any information that We collect from You, or that You provide to Us. It covers information that could identify You (“personal information”) and information that could not. In the context of the law and this notice, “process” means collect, store, transfer, use or otherwise act on information.

  2. If there are any points below with which You are not happy, then do not send us any of your personal details such as email address or phone number.

  3. We take seriously the protection of Your privacy and confidentiality. We understand that everyone who gives Us personal details are entitled to know that their personal data will not be used for any purpose unintended by them, and will not accidentally fall into the hands of a third party.

  4. The law requires Us to tell You about Your rights and Our obligations to You in regards to the processing and control of Your personal data. We do this now, by requesting that you read the information provided at www.knowyourprivacyrights.org

  5. Except as set out below, We do not share, or sell, or disclose to a third party, any information collected through our website or our email cullenaghresidents@gmail.com.

We collect only the information You provide to Us. Your personal details including Your name, home address, email address and phone number. At this time We do not collect any personal data through Our website. Our website does not hold any personally identifiable information

Our goal is to hold contact details to allow communication to each household on the Cullenagh Estate. The information We collect from You (described above) may be used in one of the following ways:

  • To send communications such as news about our estate, planned activities, updates to Our website and other information

  • To send You requests for contributions towards the cost of maintaining our estate

  • To ask Your views or comments on matters relating to our estate

  • The maintaining of electronic mailing lists that You have subscribed to

  • To inform You of upcoming events (including via Our newsletter)

  • To inform You of any cancellations to events (including via Our newsletter);

  • To respond to inquiries in relation to content or issues in Our newsletters or other communications

  • To send You other communications which You have requested and that may be of interest to You including information about campaigns, appeals, activities as well as to inform You of the venues of any meetings and other details as well as the results.

We will only send You emails of a non-commercial nature, although it is possible We may publicise commercial events or activities (without fee) if We believe these may be of interest to You. We may make reasonable and non-invasive enquires if we receive multiple contact details from a single address to ensure that we are only providing information to valid Cullenagh Residents.

Our lawful basis for processing Your general personal data under article 6 of GDPR is Consent of the data subject. When you provide us your contact details for the purpose of communication, you consent to us using your personal data as outlined in this privacy statement

We are committed to ensuring that Your privacy is protected. We will never, trade, swap, sell or distribute your Personal Information to a third party without Your consent unless We are required to do so by law.

Personal data provided to us via cullenaghresidents@gmail.com. Is stored on Google's email servers. Google’s privacy policy can be reviewed here; https://policies.google.com/privacy#infosecurity Access to this email account is limited to two committee members. We maintain a spreadsheet containing the Name, Address and Contact details (email, mobile) for Cullengh Estate residents who have volunteer this information to us. This information is held on an encrypted laptop. Extract of the information may be shared with Committee members for the purpose of communication to residents.

Except as otherwise mentioned in this privacy notice, We keep Your personal information only for as long as required by Us:

  • A. to provide You with the information You have requested by providing your name address and contact details;

  • B. to comply with other law;

  • C. to support a claim or defence in court.

Emails will be retained for 2 years unless a longer retention is required under B) and C) above. Your contact details will be retained on our spreadsheet until:

  • A. Your request us to delete of amend this data

  • B. You notify us that you are leaving the Cullenagh estate

  • C. We are provided with contact details of a new contact person at your address

You have the right to ask for a copy of the information We hold about. If you would like a copy of the information We hold about you, please send us a request by email to cullenaghresidents@gmail.com. We are obliged to provide You with whatever personally identifiable information We hold. In Your case, this will only be: Your first name Your surname Your address your mobile or landline phone number Your email address and any other details that you have already sent us by email. For the purposes of the General Data Protection Regulations (GDPR), We have 1 month’s notice to provide this information to You.

You have the right to have inaccuracies in personal data that we hold about you rectified. If you have reason to believe that we hold inaccurate data about you and You would like to have this corrected then please send Us an email at cullenaghresidents@gmail.com. You have the right to have your personal data deleted where we no longer have any justification for retaining it subject to exemptions such as the use of pseudonymised data for scientific research. If you would like Us to delete your personal data please send Us an email at cullenaghresidents@gmail.com.

If you no longer wish to receive any communications from Us please let us know by sending Us an email at cullenaghresidents@gmail.com.

To exercise all relevant rights, queries or complaints please in the first instance contact your road representative. The names of your road representatives are listed on our Website. If this does not resolve Your complaint to Your satisfaction, You have the right to lodge a complaint with the Data Protection Commissioner’s Office (Ref. https://www.dataprotection.ie/docs/Home/4.htm )
